Location: While this role is remote, this role requires the candidate to be located in the PST or MST area.

About This Opportunity
The Senior Payroll Specialist will be responsible for owning and managing all aspects of payroll operations across the organization, ensuring accurate, compliant, and timely payroll processing. You will serve as the subject matter expert for multi-state payroll, payroll tax compliance, and payroll systems, processing payroll using QuickBooks Online (moving to ADP in the near term) while managing benefit deductions, reconciliations, and reporting.
Key Responsibilities
Payroll Operations & Compliance
- Process multi-state payroll for hourly and salaried employees and 1099 contractors, including commissions, bonuses, and equity compensation using QuickBooks Online.
- Ensure compliance with payroll tax regulations and wage & hour laws across all operating states.
- Create and manage payroll tax accounts when employees are hired in new states.
- Serve as the primary owner of payroll systems and processes.
Audits, Investigations & Reporting
- Support payroll audits and ensure timely and accurate submission of payroll tax filings and required state and federal reports
Payroll Processing
- Process multi-state payroll for both hourly and salary employees, and 1099 contractors, commissions, bonuses, and other special payments using Quickbooks online.
- Completes payroll operational activities including adjustments, audits, reporting, regulatory filing, etc.
- Create new payroll tax accounts when an employee is hired in a new state.
- Manage payroll tax reporting for multiple states. Maintain a thorough tracking system for payroll tax frequencies, unique circumstances, and ensure QBO is set up correctly.
- Manage proper benefit deductions and reporting with HR.
- Submit FSA and HSA contributions after each payroll.
Record Keeping & Reconciliation
- Manage all onboarding and reporting required for new hires.
- Maintain accurate and confidential employee payroll records, including new hires, terminations, changes in compensation, and benefits.
- Manage complex commission tracking and maintain commission statements for the internal sales team.
- Reconcile all payroll-associated accounts on both the P&L and B/S.
- Reconcile monthly health insurance invoices and 401k deductions.
Compliance & Reporting
- Troubleshoot errors with QB Time, whether it be employee errors, exporting, mapping, etc.
- Ensure all labor associated to a project is imported correctly on the QB job costing module.
- Understand the purpose of all QB Time fields including Classes, Service Items, Billable, etc.
- Preparing periodic payroll reports for review by management.
- Monthly Worker’s Compensation reporting.
New Software Implementation
- Spearhead the implementation and adoption of the following: QuickBooks Online to ADP Workforce & QB Time Tracking to Service Titan Time Tracking (Target Implementation Kick-Off Q1 2026)
- Mileage tracking in Ramp
Qualifications
Must-Have:
- Minimum of 7–10+ years of experience in payroll, including multi-state payroll processing.
- Construction industry experience.
- Strong understanding and hands-on experience with Non-qualified Stock Options (NSO) and Incentive Stock Options (ISO).
- Proficiency in Google Suite, QuickBooks Online and QB Time (formerly TSheets).
- Experience with blended rate calculations.
- Experience managing complex commission structures, including tracking and processing.
- Working knowledge of basic accounting principles and payroll best practices.
- Understanding of the Job Costing module in QuickBooks Online.
- High level of numerical aptitude with exceptional attention to detail and accuracy.
- Ability to multi-task effectively, work well under pressure, and maintain strong organizational skills.
- Excellent communication, interpersonal, and time management skills.
Nice-to-Have:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Experience with Sage Intacct, ADP Workforce, ServiceTitan, Expensify, and Ramp.
- Strong analytical skills with the ability to identify issues and propose effective solutions.

- Pay Range: $105,000 - $125,000 based on experience.
