Our innovative wildfire defense system allows homeowners to track wildfires, receive critical alerts, and actively safeguard their properties using a remotely operated fire protection system. With multiple layers of redundancy, our system hydrates homes and surrounding areas to prevent ignition from flying embers—the #1 cause of structure loss during wildfires.
We are a fast-growing team that has already achieved significant milestones in protecting homes across all Western States. Our team includes experienced engineers, product designers, and industry experts, and we are looking for a Payroll Specialist to help drive our efforts.
Location: Preference for California as this aligns with the working hours of the position.
About This Opportunity
The HR Compliance & Payroll Specialist will be instrumental in ensuring that our organization adheres to all relevant labor laws, regulations, and internal policies. This role will also manage all aspects of payroll. You will be responsible for maintaining payroll systems and processing multi-state paychecks according to schedule using Quickbooks online as well as managing benefit deductions, payments and reconciliations.
Key Responsibilities
HR Compliance
Compliance Strategy & Risk Management
- Develop, maintain and manage a comprehensive HR compliance framework across all HR functional areas.
- Identify, assess, and mitigate HR compliance risks through policy development, control implementation, and education.
- Serve as the subject matter expert on multi-state employment law, including CA-specific laws, federal regulations.
- Provide strategic oversight of Leave of Absence programs and Time Off programs that are in compliance with all states the Company is operating in.
- Manage the lifecycle of all employment-related agreements, including coordination with legal and internal stakeholders.
- Ensure that the Company maintains accurate and compliant personnel records, including regulatory documentation and signed agreements.
- Oversee labor law poster compliance, including reviewing and updating postings and liaising with third-party vendors as needed.
- Maintain in-depth knowledge of employment law and HR compliance requirements, and collaborate cross-functionally to integrate compliance into key HR and business processes.
Audits, Investigations & Reporting
- Lead regular internal HR compliance audits; track issues to resolution and implement best-practice corrective actions.
- Conduct or oversee audits of processes, practices, and data to ensure legal and policy adherence.
- Research, prepare, and respond to claims, regulatory inquiries, and audits.
- Aggregate and analyze HR data to develop actionable compliance reports and dashboards for leadership.
- Ensure timely and accurate submission of required federal and state reports.
Policy Development & Implementation
- Develop, revise, and maintain HR policies and procedures to align with evolving laws, insurance, and business needs.
- Oversee implementation of changes required due to legal or regulatory updates.
Training & Communication
- Deliver and support training programs for HR and business leaders on compliance matters (e.g., wage & hour, leave laws, meal & rest breaks, documentation best practices).
- Build collaborative relationships at all levels across the enterprise resulting in stakeholder alignment, effective communication strategies and overall satisfaction with HR Compliance practices.
- Support leadership by developing compliance training, tracking metrics, and addressing escalated issues.
- Develop, implement, and oversee compliance programs and policies related to HR laws and regulations.
- Monitors federal and state legislation and regulations as they relate to employment and human resources
- Conduct regular audits of HR policies and practices to identify areas of potential risk and recommend improvements.
- Provide guidance and advice to management on compliance-related issues, including workplace policies and regulations.
- Prepare and maintain comprehensive documentation related to HR compliance activities, audits, and training efforts.
- Update and maintain employee records in compliance with regulatory requirements
Payroll
Payroll Processing
- Process multi-state payroll for both hourly and salary employees, and 1099 contractors, commissions, bonuses, and other special payments using Quickbooks online.
- Completes payroll operational activities including adjustments, audits, reporting, regulatory filing, etc.
- Create new payroll tax accounts when an employee is hired in a new state.
- Manage payroll tax reporting for multiple states. Maintain a thorough tracking system for payroll tax frequencies, unique circumstances, and ensure QBO is set up correctly.
- Manage proper benefit deductions and reporting with HR.
- Submit FSA and HSA contributions after each payroll.
Record Keeping & Reconciliation
- Manage all onboarding and reporting required for new hires.
- Maintain accurate and confidential employee payroll records, including new hires, terminations, changes in compensation, and benefits.
- Manage complex commission tracking and maintain commission statements for the internal sales team.
- Reconcile all payroll-associated accounts on both the P&L and B/S.
- Reconcile monthly health insurance invoices and 401k deductions.
Compliance & Reporting
- Troubleshoot errors with QB Time, whether it be employee errors, exporting, mapping, etc.
- Ensure all labor associated to a project is imported correctly on the QB job costing module.
- Understand the purpose of all QB Time fields including Classes, Service Items, Billable, etc.
- Preparing periodic payroll reports for review by management.
- Monthly Worker’s Compensation reporting.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field is a plus.
- Construction experience is a plus.
- Experience with Expensify, GSuite, MS Office a plus.
- Detail-oriented with a high level of accuracy in work and documentation.
- Multi-task w/ ease, work well under pressure, and strong organizational skills.
- Strong analytical skills with the ability to identify issues and propose effective solutions.
- Excellent communication and interpersonal skills.
- Strong time management skills.
HR Compliance
- Minimum of 7 years of experience in HR compliance.
- Deep knowledge of federal and California employment laws; familiarity with laws across other key U.S. states.
- Demonstrated experience conducting audits, managing compliance investigations, and responding to legal/regulatory claims.
- Ability to interpret legislation, perform legal research, and translate complex compliance issues into business solutions.
- Excellent written and verbal communication skills; able to build relationships across HR, Legal, Operations, and senior leadership.
- Proficiency in HRIS (Company uses Eddy) and reporting/analytics tools.
Payroll
- Minimum of 7 years of experience in payroll, which includes multi-state payroll.
- Must understand and have experience with Non-qualified Stock Options (NSO) and Incentive Stock Options (ISO).
- Working knowledge of basic accounting principles and best practices for payroll processing.
- MUST be proficient in Quickbooks Online.
- MUST be proficient in QB Time (formerly TSheets).
- Understand how the Job Costing module works in QBO.
- High numerical aptitude.
Compensation & Benefits
- Pay Range: $75,000 - $95,000 based on experience.
